Pixel Systems is adding a PMO Assistant to our team to support a large initiative for a partner in the specialized logistics and business services sector. Our client handles complex moving parts every day, and we are building the software tools that help them keep track of it all. This role is about supporting that work by keeping our internal project data organized, helping with communications, and ensuring our developers are focused on the right tasks. Because we are a small team, you will see exactly how a software project goes from a messy spreadsheet to a finished, working system.
About Pixel Systems We are a small, remote software agency that builds the tools teams actually use. We do not do flashy consumer apps or marketing sites. Instead, we focus on the practical stuff: admin panels, CRM integrations, and the database migrations that people usually try to avoid. Our clients come to us when they need to replace a sprawling spreadsheet with a real database or get their different software tools to finally talk to one another.

The Role As a PMO Assistant, you will sit in the center of our project workflows. One day you might be updating project boards for a database migration project, and the next you might be helping a developer record a video walkthrough for our logistics client. This is a fully remote position where your main task is to make sure nothing falls through the cracks. You will help manage timelines, assist with status updates, and ensure our internal databases stay up to date so the team always knows what comes next.
Your work involves:
- Gathering progress updates from developers and updating our internal project tracking boards.
- Assisting with the preparation of weekly demo materials for our specialized logistics partner.
- Transcribing meeting notes and turning them into clear, actionable tasks for the team.
- Helping to organize technical documentation and user guides for the tools we build.
- Checking that our project folders and GitHub repositories are organized according to our standards.
- Verifying that the fixed-price project milestones are being met on schedule.
- Supporting the team in organizing walkthrough videos and training materials for end users.
What we need from you This is an entry-level position. We are not looking for years of professional experience. We are looking for someone who is organized and enjoys putting things in order. A good fit for this role is someone who is comfortable working independently in a remote environment and who values clear, plain communication.
- Strong written communication skills: you can explain a technical update in a way that is easy to understand.
- High attention to detail: you notice when a deadline is missed or a file is in the wrong folder.
- A basic understanding of how software projects work: you know that coding takes time and testing is important.
- Comfort with spreadsheets and simple project management tools.
- The ability to manage your own schedule without someone checking in on you every hour.
- A preference for clarity over complexity in all your work.
- A willingness to learn the administrative side of technical project management.
Helpful background While this is an entry-level role, it is helpful if you have a basic familiarity with some of the tools we use every day. You do not need to be an expert, but being comfortable around these will help you get up to speed faster:
- Familiarity with GitHub or similar version control tools for tracking tasks.
- Basic knowledge of what a database like Postgres does.
- A general understanding of how APIs allow different software programs to talk to each other.
- Experience with documentation tools or simple video recording software.
- Interest in how logistics or business operations function.
- Exposure to basic web technologies like Node or React through a bootcamp or personal project.
